What You'll Do
You will represent BCG to all internal and external contacts in a manner consistent with BCG’s value statement. This means taking full responsibility for the maintenance of a demanding schedule, providing administrative support to MDPs (Managing Director and Partners), Partners, Directors. You will also support the other Senior EAs & Team Managers/Coordinators and the Operations Senior Manager in the daily management of a group of Executive Assistants and Team Assistants.
You are good at:
Executive Assistant:Proactively managing and maintaining calendar/agendas, coordinating point-to-point travel needs (car, flight, train, hotel, etc.), assisting with business and personal business-related tasks;Organizing and scheduling client and internal meetings;Preparing weekly timesheets and expense reports;Ensuring key presentations are prepared and meet deadlines;Developing working relationships with clients and client’s Assistants to facilitate the information flow and scheduling process;Coordinating committee meetings, arranging conference bridges, reserving conference rooms, organizing food service and food delivery;Acting as a communication link amongst case team members, as owner of all internal process related to your stakeholder(s);Cooperating with other Executive/Team Assistants, providing back-up assistance as needed, participating in team activities, special internal project and events, maintaining highest levels of internal and external confidentiality
Team Coordinator:Coordinating the Executive Assistants and Team Assistants Teams in terms of capacity planning, in coordination with the HR Department;Allocating resources allocation and managing related communications, in coordination with all involved stakeholders;Taking part in the recruiting process for both Executive Assistant and Team Assistant roles;Supervising and coaching activities for junior resources and new hires assisting and training them on the job, proposing and assigning a buddy to new hires as per the internal buddy program;Organizing the welcome, induction and onboarding activities of new hire and introductory trainings (technical and soft skills);Collecting inputs for discussion in recurring plenary meetings and proposing topics, as well as taking part into weekly Team Coordinators’ meetings;Setting the emergency back-up planning and general Assistants’ support organization as needed;Preparing the vacations plan and monitors yearly permits utilization among the team;Setting development goals, discussing mid-year performance and gathers and delivers feedbacks to team members in coordination with OPS Senior Manager;Facilitating the information flow across the Executive Assistants, Support Team, Team Assistants colleagues and other Departments;Assessing and planning training needs for the Team in coordination with the OPS Senior Manager and the L&D Team;Proposing action plans to anticipate capacity issues and other unexpected topics (i.e. Parental policy impact, transfers-in not planned, etc);Cooperating with Support Team to facilitate processes and enhance overall efficiency and team performance.
The role will be focused on the activities listed above, but not limited to them.
What You'll Bring
7+ years in a similar role in an international corporate environment (business service industry experience will represent a plus);Excellent skills in Outlook, Word, PowerPoint and Excel;Excellent communication skills (written and oral) in Turkish and English;Positive attitude, confident and empathetic personality, as well as professional standing and service-orientation;Strong people management and decision making capabilities, being recognized as role model while managing ambiguous situations;Ability to handle highly sensitive/confidential material and information appropriately;Ability to communicate effectively with all levels of the organization and with clients;Ability to act autonomously and respond to situations/communications appropriately, prioritizing own and others’ workload;Problem solving attitude, proactive in proposing ideas and solutions to anticipate possible needs;Ability to act autonomously and respond to situations/communications appropriately.Boston Consulting Group is an Equal Opportunity Employer.
