Purpose of the Role The Senior Communications Officer is a hybrid role responsible for refugee case scheduling, file management, and managing inquiries related to refugee resettlement. The position supports operational planning (e.g., interpreter scheduling, case creation, call list preparation) and ensures professional and timely responses to case status inquiries submitted by applicants or third parties. This role serves as a vital communication bridge between refugee applicants and the RSC program while maintaining accurate and secure records in compliance with IRC, TOLL and DoHA guidelines. Highlights of Key Responsibilities Program Delivery and Support + Create and authorize refugee cases in APP (Assisted Passage Program) Database in preparation for DoHA processing. + Schedule and conduct quality control for case appointments such as DNA collection, pre-screenings, DoHA interviews, medical appointments and follow-up circuit rides. + Coordinate interpreter assignments to ensure appropriate language support. + Prepare and distribute call lists and appointment schedules to applicants and relevant staff. + Accurately log schedule ids, appointment data, and other key information in designated shared systems. + Maintain inventory of case creation and office supplies. Inquiries and Outreach + Respond professionally and promptly to inquiries via phone, email, or in person as required. + Provide case-specific updates and general information about resettlement to refugees and approved third-party stakeholders. + Counsel applicants on case decisions, and escalate complex inquiries to senior staff for resolution. Monitoring and Reporting + Assist in creating weekly and monthly monitoring tools to analyze case status and prioritize processing. + Ensure accurate data entry and follow-up in APP database for all inquiries and updates. + Coordinate with other teams (Movement Ops, Medical, Case Processing, and Interpreter Services) to ensure cases transition efficiently through each processing stage. Partnership and Compliance + Maintain strong working relationships with partner agencies (e.g., UNHCR, TOLL) to ensure consistent and collaborative support. + Ensure full compliance with TOLL and DoHA’s Integrity and Compliance standards, and internal IRC policies Qualifications Work Experience: Minimum three years of professional experience in casework, database management, resettlement processing, or customer service. Experience working in multicultural environments; previous NGO experience preferred. Experience working in durable solutions strongly preferred Skills & Competencies: Strong organizational and time management skills. Exceptional attention to detail and accuracy in data entry and record keeping. Excellent interpersonal and cross-cultural communication skills. Demonstrated ability to work under pressure in fast-paced, team-oriented environments. Self-motivated and able to work independently. Ability to handle sensitive information with discretion. Familiarity with CommCare, PowerBI or similar case management systems is an advantage. Language & Computer Skills: Fluency in English (spoken and written) required; knowledge of a refugee language preferred. Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) is essential. Comfortable with creating spreadsheets and analyzing data. Specific Educational Qualification Bachelor’s degree in a relevant field required; Master’s degree preferred.
