What You'll Do

As a receptionist in the Buenos Aires Office you will have to serve as the first point of contact for our organization, providing exceptional front desk service while also supporting the facility management team. This role requires a unique blend of hospitality, organizational skills, and an understanding of facility operations to ensure a welcoming environment for guests and an efficiently managed workspace for employees.

RECEPTION

 

Manages the office call center registering calls, providing information and attending incoming visitorsOversee the visitor management protocol to ensure access is granted to visitors, vendors, and clients efficiently and securely.Administer the access control system, including digital badges, and monitor the visitor log as needed, in coordination with IT and the building administrationOversee incoming and outgoing correspondence, ensuring accurate tracking of all sent and received letters, packages, documents, etc.Support visitors during their stay in the office providing information and guiding office processes.Updates Office Microsite and all relevant information regarding office information visible to other usersSend official communications to all staff: birthday congratulations, office maintenance notices, building notices, etc.Coordinate transportation, couriers and reservations as requested.Maintain an organized, comprehensive record of visitors in Proxyclic to reinforce security and ensure operational compliance.

 

FACILITIES

 

Manage and coordinate with cleaning and coffee service staff to ensure office cleanliness and customer service excellence, while monitoring their schedules, including leave, vacations, and overtime.Ensure the office is supplied with snacks, pantry essentials, cleaning, first aid, and office materials, maintaining an adequate inventory and securing competitive pricing.Purchase office food (lunch, breakfast, etc) and manage office gatherings supporting the staff meetings.Ensure the office meeting rooms, spaces and parking are well distributed and assigned to BCGers and visitors and act as a power user of reservation platforms.Supervise and follow up office preventive maintenance plan and corrective measures.Oversees vendor-performed maintenance, ensures schedule compliance, reviews completed work, and signs off on vendor reports.Decorate the office for special occasions (Halloween, National Holidays, New Year, BCG Anniversary, Christmas, etc.)Manage facilities expenditures and ensure compliance with budget constraints.Ensure the office looks tidy, organized and decluttered Manage accurate inventory of operational supplies and oversee key mapping for all office keys, including office storage solutions.Have a comprehensive knowledge of the office dossier to quickly address facility-related inquiries and issues.Search the market for new vendors to request new services needed in the area. Coordinate with Procurement the registration of new vendors.Follow up vendor invoices and initial approval level on Palette.Troubleshoot any issue with vendors and the procurement and/or payment process ensuring they adhere to BCG procedures

 

SAFETY & SECURITY

 

Provide support in Safety & Security as a member of the emergency brigade, IRT and/or any other security team they may conform.Coordinate with the security advisor to monitor the annual safety and security plan, ensuring all actions are executed and adhere to compliance standards.Make sure the office is free from any risk that may impact in safety & security of staff.Provide support to Safety & Security trainings and initiatives.

 



What You'll Bring

2+ years of experience in reception, operations, business services, or facilitiesTechnical education or higherExcellent customer service: able to engage visitors, handle inquiries, and resolve issues efficiently while maintaining a friendly, professional demeanorStrong communication skills in Spanish and English (verbal and written), with the ability to convey information clearly and maintain organized correspondenceEffective organizational and time management abilities: proficient in prioritizing tasks, managing front desk operations, and adapting to a dynamic environmentSkilled problem-solver: able to identify and address issues promptly, whether related to visitor management, facility concerns, or administrative challengesAdaptable and flexible: comfortable handling diverse responsibilities and responding to unforeseen challenges with a positive attitudeProficient in office software (e.g., Microsoft Office Suite) and facility management systems, including the ability to maintain accurate digital and physical recordsStrong interpersonal skills: able to collaborate effectively with employees, visitors, and external service providers, fostering a supportive environmentProactive and motivated: consistently takes initiative, anticipates needs, and demonstrates a commitment to continuous improvement and quality serviceFocused on the present to learn and develop new skills, ensuring ongoing personal and professional growthKnowledgeable in basic facility operations, maintenance protocols, and security proceduresAttentive to detail: ensures accuracy in record-keeping and maintains a clean, functional reception area and workplaceUpholds confidentiality and discretion when handling sensitive information
