We are looking for an immediate, full-time, permanent position in APAC at Auckland, New Zealand.

Job Purpose:

The role is responsible for providing Facilities Management (FM) and Property Management (PM) services across multiple industrial leasehold & freehold properties in New Zealand, Fiji and Papua New Guinea overseeing all matters relating Facilities and Property Management, sustainability, operations, risk, and compliance.

It includes managing any FM team (as applicable) and contractors to ensure effective service delivery and maintaining obligations for all aspects of FM and PM performance.

Support Real Estate strategies and plans to deliver a range of integrated real estate services under the CRE policy and service catalogue and develop and continuously optimise real estate portfolios in line with business strategy and objectives, corporate guidelines and policies.

Base location: Auckland, New Zealand. Some travel required.

Scope of Countries: New Zealand, Papua New Guinea and Fiji

Your tasks:

Facilities Management (FM)

Provide (FM) services and support to specific business area(s) of medium scale/ complexity e.g. a cluster of properties or cross-business. Ensure FM CRE service delivery, process improvement and change implementation Build and maintain relationships with the company, landlords and with vendors/contractors. Implementation and ongoing management of FM services and processes to ensure: Safe & suitable working environment is maintained for employees and their activities. Compliance to local, state, and federal HSE (Health Safety and Environmental) requirements and regulations. Assets and FM services have appropriate standard operating procedures, preventative & reactive maintenance procedures in place. Capital works & preventative maintenance planning is forecasted, budgeted, & managed. Company and landlords meet own obligations under lease agreements. Management of budgets and forecasting of DHL planned capital works. Management of the financial performance for sites under FM management. Implementation and management of service level agreements and the regular reviews against key performance criteria for third party service providers (in line with company’s procurement processes). Regular review and reporting of FM spend against forecast. Regular internal property condition reports and audits are performed and documented for each property with risks and activities prioritised and costs identified. Manage the implementation and operational use of the FM software management system (REM) and online tools deployed by the company (DHL Group). Application of best practice FM and energy conservation practices. Management of emergency and planned FM works, minor projects / processes, Support implementation of facilities management plans and processes for essential soft services such as cleaning, waste management and recycling. Working with the CRE team, procurement, third parties and internal business units to implement new technologies, identify cost savings opportunities, manage initiatives and identify opportunities related to energy-related capital projects. Support the planning and execution for any climate change resilience planning and risk management regarding natural disaster events within your cluster. Enforce landlord repair and maintenance obligations under a lease. Educate site managers on their obligations on R&M, alterations and additions.

Property Management

Support CRE Oceania Commercial team with lease transactions, variations, and renewals. Liaise with CRE Oceania and Finance teams on financial obligations under the lease. Negotiate lease transactions and agreements with respective business partners. Evaluate alternative options to satisfy business strategy and market changes. Support to develop and administer Commercial Real Estate plans and processes to maximize the value of the organization's real estate portfolio with a vision toward the proper and best mix of properties in line with business strategy and objectives, corporate guidelines, and policies. Identify business processes for assessment of the current and projected performance of real estate portfolios and opportunities across all key business lines (commercial, residential, land, etc.) in the country. Understand the business needs and market conditions.

 Administration Management

Ownership of all internal platforms and data management for relevant properties Deliver REM platform implementation in conjunction with sector leads and the Commercial Lead Regularly report to the business and Head of Real Estate, Oceania as required. Communicate with senior management, professional and staff/supplier levels, and external stakeholders.

Stakeholder Management

Proactively communicate project status to the Project Sponsor and Stakeholders Maintain solid Landlord Tenant relationships. Contribute to strategic discussions with business partners / customers. Build relationships and advise key project stakeholders. Resolve conflict. Has the ability to effectively manage project conflict to an appropriate resolution. Gain support from business leaders and colleagues Advises the respective level of management and others on consequences of business decisions on compliance.

Management Responsibility

Individual contributor to manage 3rd party vendors Coordinate and lead one or more teams to cover various areas of responsibility (staff or 3rd parties)

Your profile:

Education Level

Relevant Bachelor’s Degree or equivalent experience/qualification

 (Relevant College Certificate or equivalent experience/qualification is acceptable provided coming in with extensive years of relevant years of working experience)

Desirable Facility Management/Real Estate Certificate

Experience Level

Over 5-7 years of relevant experience in facilities management, in an industrial property environment Over 5 years’ experience in Corporate Real Estate roles Experience with Planon FM software or similar Preferably with 3-5 years vendor leadership experience 3-5 years leadership experience (direct or indirect leadership)

Functional Skills:

Strong contract negotiation, cost estimating, and vendor management abilities. Proven experience in project management, including supervising small projects and leading medium ones, while supporting larger ones. Excellent attention to detail, problem-solving skills, and ability to manage project scope, planning, and budget. Strong stakeholder management and communication skills, with the ability to build effective relationships at all levels. Fluency in English, both written and spoken. Proficient in Microsoft Office applications, particularly Word, Excel, PowerPoint, and Outlook. Knowledge of construction contracts, supervisory management, construction safety, energy efficiency, service contracts, landlords, budgets, maintenance management, preventive maintenance, property management, space planning, metrics, building management systems, building services, mechanical systems, power systems, emergency power systems, and electricity. Experience in business processes, business strategy, market research, and presentation & storytelling. Possession of a valid driver's license.
