Job Description: Manager – Project Sales & Purchase
Reporting to: Project & Purchase Head
Position Overview:
We are looking for a dynamic and detail-oriented Manager – Project & Purchase to lead end-to-end project coordination and procurement operations. This role requires a blend of project planning, strategic sourcing, vendor management, and cross-functional coordination. The ideal candidate will ensure timely execution of project deliverables, cost-effective procurement of materials and services, and efficient alignment with internal stakeholders and suppliers.
Key Responsibilities
Project Planning & Coordination
Ensure job orders are planned and executed as per scheduled timelines. Coordinate with execution teams to monitor job status and mitigate delays.
Procurement & Purchase Operations
Process purchase requisitions and ensure timely placement and follow-up of purchase orders (POs). Liaise with suppliers for order tracking, shipment schedules, and delivery coordination. Oversee inbound transport/freight planning and resolve delivery discrepancies. Maintain and update purchasing records, reports, and pricing data.
Vendor & Contract Management
Administer contract performance including delivery terms, insurance, warranty compliance, and damage claims. Maintain vendor rating systems for performance evaluation during PO issuance. Escalate and resolve PO discrepancies, value mismatches, or shipment variances.
Stakeholder Communication & Reporting
Act as a single point of contact for internal/external stakeholders for project and purchase matters.
Documentation & Data Management
Ensure accurate record-keeping of procurement documents and project logs. Maintain real-time updates in ERP/inventory systems to reflect order status and documentation. Compile and analyze data for raw materials, packaging, consumables, and chemicals to identify procurement trends and optimization opportunities.
Payment Coordination & Cash Flow Support
Coordinate with finance for timely payment collection based on agreed terms. Support reduction in outstanding receivables and enhance financial stability.
Desired Candidate Profile
Education: Bachelor's in Mechanical/Production Engineering or Supply Chain; MBA preferred. Experience: 8–12 years in project and procurement functions, preferably in engineering, HVAC, or manufacturing sectors.
Skills:
Proficiency in ERP systems, purchasing software, and MS Excel. Strong negotiation, vendor management, and analytical skills. Excellent coordination, communication, and documentation abilities. Ability to manage multiple priorities and meet tight deadlines.
