Job Description
General Duties
+ Ensure adherence with IRC policies, tools, handbooks and guidelines.
+ Implement delegated Logistics tasks according to plan of action & supervisor instruction.
+ Prepare and develop status reports as required by management.
+ Ensure proper filing of documents.
+ Promote and share ideas for technical improvement.
+ Development of holistic and needs & marked based programs.
+ Ensure effective and efficient inventory management, fuel management, shipment and sample management.
Specific Duties:
+ Monitor warehouse conditions and commodities and take appropriate actions to support efficient space utilization and ensure organized storage.
+ Responsible for inventory management, office supplies management, fuel management and sample management.
+ Sort and organize office supplies, stationery, IT equipment, and security items in designated locations.
+ Coordinate with suppliers and transporters to schedule and receive incoming shipments on time.
+ Inspect and document the condition of goods upon arrival.
+ Receive and confirm receipt of requested items based on purchase orders or delivery receipts.
+ Resolve any discrepancies or issues with suppliers and transporters related to incoming shipments and update inventory list, stock card and Bin Card accordingly.
+ Label and categorize goods based on storage requirements.
+ Maintain a clean and organized work area.
+ Release items from stock following the approved Release Order (RO) or request form.
+ Coordinate with requesters, program/operation/security, suppliers, and transporters to schedule outgoing shipments.
+ Process receipt list, product receipt, packing slip, transferring and updating inventory record in ERP system (Integra)
+ Provide anti-corruption, transparency, and cost efficiency focus on all processes (e.g. t, fuel management, inventory management, stock management).
+ Plan for supplies of goods and services required by the IRC operation & Programs within Afghanistan including the preparation of monthly logistics reports.
+ responsible for the clearances of locally and internationally procured items and liaise with other organizations to obtain all necessary authorizations and clearances for import and export of goods.
+ Ensure that safety stock is recorded in bin card, stock card…..., updated, and managed according to SOPs.
+ Provide consumable goods reports on Monthly bases.
+ Ensure that appropriate maintenance support is available for the Kabul offices and repairs are carried out in a timely manner.
+ Being fully responsible for all activities in the warehouse/stock.
+ Responsible Fleet & Generator related tasks handling (coordination meeting with technician, fueling, logbook tracking, etc.)
+ Handle transportation of goods & supplies to and from field offices & air cargo issues.
+ Act as backup for the logistics team, when required.
+ Responsible for conducting monthly and annual assets and stock verification and updating of related system.
+ Performs other duties as assigned.
Expected Deliverables:
+ Provide weekly/monthly report on a timely basis to the deputy supply chain coordinator and other colleagues as needed.
+ Submit a list with details of all inventory and other supplies to the line manager.
+ Conduct weekly meetings with FOs storekeepers and consolidate/communicate the priorities/findings.
+ Ensure that the required documentation is regularly sent to the related colleagues/department in close coordination with the line manager.
+ Maintain Waybills and Receipts of goods/other supporting documents with record in close coordination with line manager.
+ Ensure IRC’s partners’ related documentation is maintained including asset tracking, inventory consumption/receipt and right of use agreements etc.
Qualifications
+ Demonstrated understanding of Supply chain policy and regulations and donor policies and thresholds for logistics.
+ Proven ability to plan & manage multiple tasks in parallel to optimize the short implementation in multiple locations.
+ Strong sense of personal integrity; Reliable and trustworthy.
+ Outstanding communication and interpersonal abilities
+ Bachelor’s Degree in Logistics Management, Economics, & Business Administration.
+ At least 2-3 years progressive experience as officer level position in logistics, managing warehouse/inventory/asset with INGOs and any other humanitarian organizations.
+ Professional competency in Microsoft Office Suite.
+ Field experience of managing a large multi-site supply chain operation.
+ Solid knowledge and understanding of practical emergencies and supply chain procedures and maintaining supply pipelines in areas with weak infrastructure.
+ Experience in mitigating the risk of fraud.
+ Working knowledge of inventory management software/ERP.
+ Strong organizational, interpersonal and communication skills.
+ Strong analytical skills and computer competency with word processing, spreadsheets, databases, and other IT skills.
+ Possess leadership qualities and willingness to exercise initiative.
+ Strong work ethic and pro-active problem solver.
+ Willingness to participate, contribute and lead the team under challenging working and living conditions.
+ Spoken and written English fluency preferably with command of Pashto and Dari.
+ Capacity to respond rapidly to evolving challenges, raise appropriate solutions and achieve results.
