Since 2017, IRC has supported Rohingya Refugees and Bangladeshi nationalities communities in Cox's Bazar, Khulna, Barisal, and Chittagong with integrated services. The organization also addresses climate change impacts by building resilience and promoting economic recovery, education, and protection.
Purpose of the Role
The post holder is responsible for fulfilling the Logistics and Supply Chain Department support for the Assisted Passage Programme (APP) in IRC. The person will be responsible for managing office facilities, lease/ contract agreements, vendor management, fleet management, event management, logistics support, in close coordination with the Assisted Passage Program (APP) team. The person with work under the Supply Chain Coordinator and will work closely with the Supply Chain & Operations team Field Offices (Ukhia , Cox’s Bazar and Dhaka).
Key ResponsibilitiesOperation and Admin support:Providing logistics support for IRCs Assisted Passage Program (APP)Ensure logistic support for the training, meetings, workshops in the Ukhiya, Cox's Bazar and Dhaka level as and when necessary. Ensure proper operational support in response to the Assisted Passage Program (APP) request and their prioritiesResponsible for ensuring office stationaries/ supplies/ consumable items for office and appropriate planning through the fiscal yearTravel and accommodation:Ensure vehicle support to APP Clients and other APP program staff as per request.Ensure all Hotel and Accommodation for APP national & international staff (incoming/ outgoing) at Dhaka, Cox’s Bazar and Ukhiya.Coordinate with Dhaka, Cox’s Bazar and Ukhiya Operations teams related to any Clients / staff travel and accommodation issues.Assist all required logistics to expatriate staff to/from Cox’s Bazar to return to/from their home countryEnsure accommodation and others support for APP Clients/ staff based on approved TOR/ TAFFleet Management:Coordinating with program team for planning the use, movement, maintenance and repairs of vehicles and thereby facilitating the most cost-efficient delivery of transport services to the APP Program;Assist Fleet Manager to populate the monthly Fleet report.Manage Drivers duty and develop the daily Vehicle Roster for the drivers.Analysis the vehicle requirement for Ukhiya Cox’s Bazar and hire the Vehicle as per APP need.Coordinate with Fleet Manager any Vehicle related issues.Review & monitor the Vehicle logbook and take corrective measures as required.Procurement:Key official to ensure Procurement, Fleet, event and logistics to the entire APP program for training, meeting, workshop in Ukhiya, Cox’s and Dhaka level on regular basis. Ensure all the assigned PR’s/IR’s have been addressed on time.Liaison with Warehouse team to ensure that the commodities are received and delivered on time.Assist the Supply Chain Team to collect and prepare the RFQ/RFP/PO/Invoicing.MPA/MSAEnsure all the Invoices related to the event management/Procurement/Fleet are submitted on time.This position will work as a buyer and work under the Supply Chain Core Team.Other Duties:The duties listed are not exhaustive and may be varied from time to time as dictated by the changing needs of the program. The post holder will be expected to undertake other duties as appropriate and as requested by his/her manager. The post holder may be required to work at any of the locations at which the Operations of IRC is conducted
