What You'll Do

Provide operation and facility support in Kuwait:

Manage the front desk, including treating visitors in professional and courteous manner, direct all visitors to sign in, and notify appropriate employee(s) of their visitor's arrival.Answer switchboard calls, route calls promptly and take accurate messages where needed.Perform miscellaneous related administrative tasks and providing back up assistance to operations team.  Prepare client meeting rooms and manage meeting room request (Resource Scheduler).Manage and co-ordinate all mail, manage incoming packages/mail from a variety of couriers. Oversee and controlling the medicines when required.Arrange catering as requested and work with building management for visitor refreshments.Arrange transportation services for clients and employees when needed. Maintain contact with external vendors and suppliers.  Follow up any office requests/queries/suggestions and maintenance problems reported from meeting rooms and reception area. Maintain databases and information as well as performing analysis and creating reports. Manage and assign new joiner office access cards. Assist with office events as well as other office related projects/tasks. Maintain stock control of all reception items, stationary and medical equipment. Handling and monitoring petty cash, liaising with Finance for replenishment. Provide administrative support when required; printing, binding, copying, faxing, scanning, and filing, perform other office duties as assigned. Manage local sim cards and wifi router allocations.Provide ad hoc executive assistance support to leadership team.Cross check case codes with monthly Careem/Uber case codes.Sourcing local vendors to supplier office with misc items.Working along side local PRO team for all BCG certification and licenses.Keeping track of certification and licenses expiry.

Immigration support to obtain work visas for Kuwait:

Provide ground support to HR team for Kuwait visa and work permits

 

Support Tender Services with administrative tasks related to RfP process:

Support with the lead search via portals and/or websites related to Kuwaiti Proposals based on requests from stakeholders.Process RfP payments as required by the clients, either in person or via portal to obtain necessary documents.Prepare simple admin letters to deliver/collect documents.Liaise with the Proposal Senior Specialist via calls or emails in the lead up to finalizing RfP documents to align ahead of deadlines.Support in collecting and delivery bid bonds from the bank and to the client.Prepare final Rfp packet by printing, stamping and delivering hard copy submissions.Attend necessary Kuwait RfP trainings and meetings across Tender Services team when needed.

What You'll Bring

Bachelor's degree and minimum 2-3 year of relevant experience in Tender Services/RFP.Strong service orientationMaturity and flexibility to work both independently and in cooperation with others.High level of self-motivation and initiative.Willingness to exercise good judgment and make decisions based on logic and common sense.Excellent organizational skillsAbility to multi-task and complete a variety of projects in a fast-paced environment.Ability and willingness to work overtime on projects and tasks as required.Knowledge and experience of the Middle East and local practices.Strong verbal communication skills; fluency in English and Arabic.Proficient computer skills: Windows, Word, Excel, PowerPoint, Outlook.Ability to respect all BCG information as personal and confidential.

Who You'll Work With

The Operations team. The team is very collaborative and enjoys learning and mentoring each other.The Tender Services team. This team is responsible for proposal deliverable and meeting client requirements and will request your support for all proposal-related submissions. Regularly interact with internal teams and external vendors.Your manager will be a great resource for support and troubleshooting and will provide developmental guidance and support as you grow your career at BCG.
