Position Overview:
Client is seeking an experienced HRBP to manage all aspects of contractor management, general administration, Industrial Relations (IR), legal compliance and payroll (Contract Employees) for our manufacturing plant. The ideal candidate will have a strong background in HR compliance, statutory compliance, labor relations, and general administrative functions, with the ability to manage complex operational and legal matters.

Client is the leading German MNC & manufacturer of Vehicle Systems & Assmblies, especially in commercial vehicles, with sales totaling approximately EUR 7.93 billion in 2023, in more than 30 countries, around 33,000 employees develop, manufacture, and service.
Key Responsibilities:
1. Contract Labour & Agency Management:
· Manage and oversee contractor agencies handling manpower across the Pune plant and 4 additional locations.
· Conduct monthly compliance checks for all contract labor and agencies to ensure legal adherence.
· Process monthly billing and handle renewals for contractor agreements.
· Oversee deployment and payment matters related to the National Apprenticeship Promotion Scheme (NAPS), Earn & Learn scheme, and Mathadi workers.
· Manage daily attendance records for staff, workers, and contract labor, ensuring accurate payroll data generation.
· Prepare and submit monthly salary inputs to the payroll agency.
· Oversee the generation and analysis of daily reports using time-attendance software.
· Handle attendance and leave records for employees, ensuring better manpower alignment.
· Introduce and manage mobile applications to streamline attendance and leave management processes.
· Oversee the payroll process for contract workers through vendors and verify accurate billing across various locations.
2. General Administration & Facility Management:
· Oversee employee transportation, hired vehicles, and pantry/guest management services.
· Manage expat accommodation and vendor relationships for plant-related services.
· Coordinate travel management for plant-related activities and ensure smooth operations.
· Oversee end-to-end canteen operations, ensuring hygiene, quality, and cost-effectiveness.
· Manage company vehicles, vehicle booking management, maintenance, and driver coordination.
· Supervise Occupational Health Centre (OHC) activities and ensure compliance with health protocols.
· Monitor and report safety-related incidents, ensuring timely resolution and full compliance with safety regulations.
· Handle employee transportation management, ensuring timely and safe commute for all shifts.
· Manage procurement and inventory of stationery and printing materials for HR department.
· Oversee PPE and uniform distribution for unionized employees, ensuring timely availability and adherence to standards.
· Coordinate the distribution of Diwali gifts, ensuring all employees receive their gifts prior to the festival
· Lead employee engagement initiatives for unionized employees, fostering a positive and inclusive workplace culture.
3. Recruitment & Placement Management:
· Schedule interviews, shortlist CVs, and follow up with candidates to ensure timely interview attendance.
· Oversee the preparation and issuance of job offers, appointment letters, and all other related documentation for selected candidates, primarily for contractual white-collar employees
· Conduct induction programs for new hires and ensure all joining formalities are completed.
· Ensure that new employees raise an IT ticket for their laptop and other official access, and make sure these are provided to them on their designated joining date
4. Budgeting & Cost Control:
· Manage the budgeting process for both direct and indirect manpower and CAPEX.
· Monthly and annually Monitor and track manpower and CAPEX costs, ensuring alignment with financial goals and effective cost control.
5. Plant Industrial Relations (IR) & Legal Management:
· Review, establish, and maintain HR compliance systems and processes for the plant.
· Manage domestic inquiries, disciplinary proceedings, and grievance resolution.
· Coordinate with Labor Office, Factory Inspectorate, PF, ESIC, and Labor Welfare Fund Offices to ensure compliance with statutory obligations.
· Lead and manage negotiations for wage agreements and Mathadi agreements.
· Serve as the primary point of contact for all IR and legal issues within the plant.
6. Statutory Compliance Management:
· Ensure full compliance with all applicable statutory laws for the factory, including PF, ESIC, MLWF, POSH, Bonus, Gratuity, Maternity Benefits, and other relevant regulations.
· Handle the timely submission of statutory returns on a monthly, quarterly, half-yearly, and yearly basis.
· Apply for and obtain necessary licenses, such as Factory License and Contract Labor Registration Certificate.
· Oversee compliance in specialized areas such as Form-7, Form-27, Employment Exchange, MPCB, paid holidays, and more.
Required Qualifications & Experience:
· Required Qualification: MBA, MSW, or MPM.
· Preference will be given to candidates who are Registered Welfare Officers.
· At least 10-15 years of experience in industrial relations, legal compliance, general administration, and payroll management, preferably in a manufacturing environment.
· Strong knowledge of statutory laws, labor relations, and compliance management.
· Experience in handling negotiations, contractor agreements, and managing large teams of workers and contractors.
· Proficient in MS Office and attendance software; familiarity with HRIS and payroll systems is a plus.
· Strong communication and interpersonal skills, with the ability to manage complex relationships and handle conflict resolution.
Preferred Skills:
· Experience with expat management and vendor relations.
· Knowledge of specialized statutory requirements such as POSH, NAPS, and Mathadi agreements.
· Budget management experience and understanding of cost control practices.
