Group & Event Coordinator

We are looking for a Group Event Coordinator to join the opening team at Hyatt Place Tallinn.

As Hyatt’s first property in this exciting market, the hotel plays a key role in expanding the brand’s presence and growth in the region.

Your Role

As the Group Event Coordinator, you will play a crucial role in supporting the sales team operationally and administratively to achieve the department's pre-determined sales and revenue targets. Your responsibilities will span across operational, administrative, customer service, and marketing areas, ensuring seamless coordination and high-quality service delivery.

Key Responsibilities

Operational Support:Update and maintain accurate records of allocated accounts in the database system.Follow up on sales leads as assigned by the Sales team.Prepare and distribute weekly/monthly reports.Maintain the activities/events log book accurately.Assist in compiling Market Surveys and Competitor Research reports.Participate in sales blitz activities.Administrative Tasks:Maintain efficient and accurate filing systems, both manual and electronic.Keep complete records of Sales Agreements, Contracts, and Quotations.Establish a trace file to track booked business.Assist in consolidating and preparing Sales reports.Customer Service, Personnel, and Marketing:Conduct hotel inspections for clients when required.Establish and maintain strong relationships with clients.Liaise with operation departments to meet guest needs.Handle guest and employee inquiries efficiently.Conduct competitor research and maintain excellent product knowledge.

Qualifications Experience
