Job Description Summary

A Facilities Manager, or Site Administration Manager maintains and oversees a company’s grounds, buildings and equipment to ensure that a workspace is safe and functional. Their duties include negotiating contracts with service providers, inspecting facilities to meet safety regulations and coordinating renovations and updates.

A Facilities Manager performs many maintenance, safety and management tasks that promote a clean and safe working environment for the building’s employees.

What are we looking for?

Bachelor's degree required and/or technical trades.5+ of relevant experience with Facilities or Property Management.Expertise in Facilities Management.Expertise in heating, cooling and ventilation projects is highly preferred.Experience in managing Facility Partners/Third Party Contractors is highly preferred.Very perceptive of their surroundings and can identify the aspects of a company’s facilities that need immediate attention, and which should be serviced soon. Listen to the needs of a building’s occupants and complete their work with their comfort and convenience in mind. Understands risk management for the workplace, and the role facilities plays as a driver of workplace effectiveness.Strong sense of urgency and don’t put off tasks, instead taking the initiative to resolve them as quickly as possible.Excellent at scheduling multiple types of services, setting up PO's, approving invoices, and managing spend according to the business’ operations budget.Project Management experience an asset. SAP Experience an asset.

What will be your key responsibilities?

Oversees a company’s grounds, buildings and equipment to ensure that a workspace is safe, functional, and fit for purpose. Maintaining day-to-day operations of facilities, such as delegating or completing maintenance orders.Monitoring the safety and cleanliness of interior and exterior areas, such as offices, conference rooms, parking lots and outdoor recreation spaces.Manages relationship and has oversight to facilities partner, budgets, scope, as well as the interconnectedness between office and manufacturing facilities. Supports with project management of key facilities projects and scopes to ensure executional excellence. Negotiating contracts with service providers and partners to meet ongoing office needs, as well as managing internal utilities where needed. Coordinates with internal communications team to ensure effective communication on workplace updates, safety, or other notifications which impact Associates. Inspecting facilities to meet safety regulations and coordinating renovations and updates across the office. Ensuring proper security measures for the workplace, including collaborating with security system vendors or a team of security professionalsPartnering with Leaders to deliver key business objectives on overall office effectiveness and Associate engagement.Develops and manages internal safety training and processes for Associates, including coordination and integration with Joint Health & Safety team to meet compliance.  Develop and maintain Risk Assessment for the workplace, including mitigating risk in the office with robust processes, as well as support for Business Recovery Management on behalf of Facilities.Creating reports on maintenance, repairs, safety and other occurrences for supervisors and other relevant staff.
