As part of the Global Technology organization, this position is responsible for providing overall administrative support, ensuring smooth and efficient operations with focus on primarily supporting the senior leaders and their teams in Global Regulatory & Product Safety, Global Quality, Microbiology and Analytical and other R&D & Packaging team members. You will play a critical role in streamlining operations, managing calendars, meetings and travel, and overall ensuring the effectiveness of the leadership teams you support. The ideal candidate is detail-oriented with strong communication & time management skills, and able to interact with all levels of the organization. The position will report directly to the SVP, Global Regulatory & Product Safety. Responsibilities: + Communication + Screens & prioritizes incoming communication, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff + Independently responds to and follow-ups on requests for information based upon acquired knowledge of department + Handles critical information with extreme sensitivity to confidentiality of data; all disclosures will require discretion + Travel + Manage and arrange complex and detailed travel plans for domestic and overseas travel (arranging visas, cars, hotels, meeting rooms, etc) + Proactively researches information such as locations and directions as it relates to supporting travel itineraries + Prepares travel itineraries including all key contact names, numbers and emergency contact information + Prepares travel expense reports for leaders + Flexible support working with senior leadership travel requirements + Calendar & Meeting Scheduling + Proactively tracks and coordinates calendars for one or more individuals and schedules meetings + Provides administrative support for onsite meetings to include meeting planning & logistical coordination with people from multiple locations and/or functions + Supports before, during, and after applicable meetings, to include recording minutes + Coordinates off-site meetings with people from multiple locations. May be required to be physically present to provide administrative assistance at off-site meetings + Adept at coordinating meetings using new technologies; is a power-user and training resource for new meeting technologies – Google suite - video/audio/conferencing + Troubleshoots equipment issues prior to and during any meetings and knows who to contact for technical assistance + Other + Manages multiple projects and events as needed across the groups supported as well as Global Technology + Performs office tasks, such as maintaining records, ordering supplies., etc + Supports other campus initiatives as needed such as campus events and learning administration + Provides back up support to other administrative assistants Required Qualifications: + High School Diploma or GED + 5+ years of administrative experience + Experience supporting multiple managers and senior leaders in an organization + Experience with the following technologies/systems: Google Suite (Gmail, Google Sheets, Docs, Slides, Meet, etc.), Concur expense management system, AMEX travel management system Preferred Qualifications: + Bachelors Degree + Ability to pivot and multi-task across multiple group needs and requests, even when stressors arise + Willingness to learn new skills, new ways of working, taking feedback and learning new systems + Mentors others, leads meetings, task forces, or projects + Creates and uses informal networks to gain support and get things done + Balances workload of department including anticipating and facilitating resolution of conflict + Extreme sensitivity to confidentiality of data; all disclosures will require discretion **Compensation and Benefits** Salary Range $58,400.00 - $73,000.00 USD Pay is determined based on experience, qualifications, and location. Salaried employees may also be eligible for discretionary bonuses, profit-sharing, and long-term incentives for Executive-level roles.
